About Google Workspace

Set up Google Workspace integration so that your calendar meetings and emails are picked up and synced to Gong. There are many benefits to syncing your Google Workspace email and calendar to Gong - it means you'll get the richest data possible in Deals boards, and enables the account timeline to provide the maximum benefit by giving you the most complete picture of a customer account possible.

With the Gong for G Suite add-on, seamlessly schedule, join, and manage your recorded meetings on Google Calendar. Notify users and capture their consent to be recorded by taking them through the Gong consent page, before joining your designated web conference meeting room.

Before you start set up, decide if you want to connect, user-by-user or company-wide.

Important

The person who does the set up in Google must have a Google mailbox. Without a Google mailbox, Gong can't successfully set up email and calendar import.

Company-wide

This is the simpler of the two options. You decide whose emails and meetings you want to import to Gong so that their emails to prospects can be seen in Gong as part of each account. With this option, only emails and meetings that are associated with the chosen users are imported. This option is typically used when setting up a company in Gong.

User-by-user

If you're a new customer, running a pilot, or only have a few users, you may decide to connect user-by-user. This connects you, the company's admin, as the first user. Decide which team members (including yourself) you want to connect Google Workspace for. Each person receives an email (with a link) with instructions on how to connect their Google Workspace to Gong.

Note

This email is sent only once to every user.

What Google Workspace permissions does the Gong app need?

Gong requires read-only access to the following elements:

  • Calendars - calendar.readonly
  • Email messages and settings - gmail.readonly
  • Email address - userinfo.email
  • Personal info - userinfo.profile,profile,openid,email

Connect Google Workspace company-wide

  1. Go to Company Setting > Integrations > Google Workspace Integration.
    1. If your organization is already connected to the Google Workspace calendar, click Change connection settings to connect emails.
  2. Do one of the following:
    1. If you are a Super Admin in Google Workspace, log in to Google Workspace with the Super Admin user, and then come back to Gong and click INSTALL GONG APP IN GOOGLE WORKSPACE.
    2. If you are not a Google Workspace Super Admin, click Send a Gong activation link to your Google Workspace Admin under the INSTALL GONG APP IN GOOGLE WORKSPACE button. You then need to follow up with your Google Workspace Super Admin to make sure they install the Gong app in Google Workspace before you can continue to set up the Google Workspace integration.
  3. Follow the set up which is based on your connection type.
    1. Grant Gong.io the right to access your domain data. This permission is static, and ensures that Gong can import emails and calendar events for your company. For more details on each of the elements Gong can access, click i in the grant screen. Note Making any changes to these permissions when updating other Google Workspace configuration settings may cause the Google Workspace integration with Gong to become unstable.
    2. OPTIONAL: In the Turn ON for area, select the organizational unit you want to turn the Gong app on for. Gong will only be able to access data for people in that unit.
    3. Click Accept. When the set up is complete and Google has granted permissions to Gong, the set up screen closes, and a success message is displayed in the Google Workspace integration page. Note that it can take up to 24 hours to fully complete.
  4. In the Connection Import Settings area, set whether to import calendar events or emails, or both (recommended). You can always change the settings later.
  5. To turn on email and calendar event import for each user, in the settings page, click Team Members.
  6. For each team or individual team member who needs to import emails and calendar events, click the setting icon

    open the data capture settings, and turn on email and calendar import. The icons next to each team or person you connect will turn from gray (not connected) to yellow (checking connection status) to green (connected). Note Data capture settings can also be turned on for a team by the team managers with the necessary permissions in "My Settings".

Connect Google Workspace user-by-user

  1. To enable user-by-user connection, ask your company Google admin officer to let Gong access the calendar meetings and emails within Google Workspace
    1. In the settings page, go to Integrations > Google Workspace Integration. If your organization already has permissions to access the calendar, you'll see the following screen. You now need to add emails. Click Change connection settings.
    2. If you are not connected, or after clicking change connection, you are asked to decide how to connect.
    3. Click Set up user-by-user connection.
    4. Based on your connection type, you are guided through the process. When the set up is complete and Google has granted permissions to Gong, the set up screen closes, and a success message is displayed.
    5. Decide whether you want to import only calendar meetings or only emails. By default, both are imported. This is highly recommended: your salespeople benefit from seeing both their calls and emails as part of each account and can leverage the Deals page. By not selecting any one of these switches, import permissions aren't revoked, it just means that this permission currently isn't used.
  2. In the settings page, go to General > Team Members.
    1. The email icon becomes yellow. It only turns green after the user connects.
  3. For each team or individual team member who needs to import emails and calendar events, click the setting icon

    open the data capture settings, and turn on email and calendar import for them.

  4. For each team member, click the setting icon

    Send welcome mail, and send a welcome mail that includes instructions on how each user can connect to Gong. In the Team Members page, the email and calendar icons next to each team or person will turn from gray (not connected) to yellow (checking connection status). When each member connects their email or calendar, the icon is green (connected).
